POLICIES & PROCEDURES
Please take a few minutes to review our policies and procedures as this may help with any questions you might have.
COPYRIGHT INFORMATION
All images are copyrighted by Michelle Barclay Photography. It is illegal to copy or reproduce these photographs in any manner. Violations include, but are not limited to, making illegal copies, scanning, printing from home or at any other photo processing site, downloading from the MBP website, using images as screensaver for desktop background, uploading images to websites, putting images on photo products, making your own announcements/invitations, etc. As an artist, Michelle Barclay wishes to maintain complete control over the print quality, finishes, and presentation of the images and any reproduction outside of MBP professional vendors may lower the quality of the image and damage our reputation for superior portraits. Thank you for respecting Michelle’s work and livelihood by choosing not to reproduce her images.
Michelle Barclay Photography reserves the right to use any image for display, publication, or other purposes.
ON LOCATION SESSIONS
Please be aware that outdoor sessions may need to be rescheduled in the event of inclement weather. If a permit is required to conduct a session in a clients desired location, the client will be responsible for obtaining the permit and any costs associated. Locations outside a 25 mile radius of zip code 35749 are subject to additional travel fee.
RESCHEDULING FEE
A $25 RESCHEDULING FEE WILL BE APPLIED TO ALL APPOINTMENTS IF A 48 HOUR NOTICE IS NOT GIVEN. THIS APPLIES TO SESSIONS, ORDERING APPOINTMENTS, AND ORDER PICK UPS. ALL CANCELLATIONS AND RESCHEDULING MUST BE MADE BY PHONE.
ARRIVAL TIME
Please arrive on time! It is to your advantage to be on time and ready to start the session. Starting late means you will have fewer images to choose from. Clients arriving more than 30 minutes late will be asked to reschedule and the $25 rescheduling fee applies.
VIEWING YOUR IMAGES
Your proofs will be available 3-5 days after your session via online private viewing site. You will be provided by email a password for access, you will then need to choose the number of favorites according to your session. I will then start the editing process and will deliver final images within 2 weeks. You will then have 30 days to download all of your images and order any prints and products during this time. There will be a $50 reactivation fee after the gallery expires.
PHOTOGRAPHIC RENDERING
While we do capture many images during your session, you will see only the images selected by the photographer for viewing. Images with eyes closed, heads turned, duplicates, etc. will not be shown and are removed from my archives permanently.
EDITING OF IMAGES
All final images are lightly edited to remove any minor blemishes, small spots or scratches, small bruises, or single stray hairs. Anything beyond that is considered extensive editing and is subject to additional charges. You will be invoiced an estimate prior to editing and must be paid in full prior to completion.
DESIGN FEES
A $25 design fee will be applied to graphic designs. You will be provided a proof via email for approval. Please review it carefully, as we are not responsible for errors such as spelling of names, dates, and quotes after your approval has been made. 1 change to the design will be allowed at no additional cost to you thereafter there will be a $25 design fee applied.
PORTRAIT DELIVERY TIME
Please allow 3-4 weeks for your order to be completed. Canvases, collages, and other specialty items may take longer. You will be notified when your order is ready for pick up. Rush Orders will be quoted when I receive cost from the vendor.
PAYMENT
For all viewing gallery orders you may pay online at the time order is placed. Session fees can be paid check payable to Michelle Barclay, cash, or via Venmo between friends.
PAYMENT PLANS
All payment plan orders will be required to fill out a print order form and can not be done through the online proofing gallery. You may wish to include how many payments and when you'd like to pay as well. Once I have received your print order form I will send you an invoice with payment details. No order will be placed until completion of payment plan. There is no refund on any monies paid towards payment plan.
REPRINTS
All ordered images are kept on file for one year from the date of your session. All images that are not ordered will be purged from the system after 90 days, and will not be available for ordering thereafter. Files are archived 30 days after your gallery activation, and any order placed after that time period requires a minimum $100 reorder and a $50 retrieval fee. Reprint prices will reflect current price list at the time of reordering.
SATISFACTION GUARANTEED
If you are not satisfied with your images, please notify Michelle at the time of your online gallery release. A reshoot will be scheduled at no cost to you. Subjects must wear the same clothing, and be photographed at same location. If a reshoot is desired , images from the first session will be deleted and no longer available to you. If you are displeased with the reshoot, your session fee will be refunded with no obligation. All images will be purged after a session fee has been refunded.
RIGHT OF REFUSAL
All policies set forth by Michelle Barclay Photography have been implemented to provide all clients with the best possible service and the best possible price. The points outlined in this document are non negotiable. If there are any policies with which you (the client) cannot comply, perhaps Michelle Barclay Photography is not the right photographer for you. Please treat Michelle with the respect she deserves and Michelle will show you the same courtesy. If, for any reason, Michelle Barclay does not feel able to provide you with the services you require, another photographer may be recommended. Michelle Barclay reserves the right to refuse service to any client who knowingly and intentionally disregards any of the aforementioned policies.
MBP SENIOR MODEL TEAM
I only offer a limited number of senior sessions per year and my Senior Models have first choice of those dates. Once you have scheduled your date I understand that you may need to reschedule, I only ask for enough notice to be able to reopen that date to someone else. I also understand that things come up and you may not be able to give me enough notice. I will not charge for those. If for any reason after we have went over all the details of the Model team program, the deposit has been paid and you have participated in a group photoshoot, and decide you will no longer be able to meet the obligations of the team and no longer wish to be apart the team you will have one of two options, 1. you can no longer participate in any team photoshoots and keep your individual senior photoshoot as scheduled and owe the remaining balance of $650 due at that time, or option 2. If you decide to drop out and not have you photos taken you will still be responsible for 50 percent of the remaining $650 balance due. I have been very thorough in the details of the program and feel it is only fair due to I could have given your spot to someone else and I can no longer do that.
